Can a nonprofit board retreat meet at a chalet dining table?

Yes, for a board of up to ten at one table. Aurora lists seating for ten, and Omega, Stella, Corona and Luna list dining for ten, on an open upper floor shared with the kitchen and living area. A board of twelve to fourteen sits ten at the table and the rest in the living room, which suits a session that moves between plenary and breakout. Reserve on the chalet’s calendar, for example Aurora’s. The chalets have free Wi-Fi and a Smart TV; there is no conference room, projector, screen or flip chart, so bring what the agenda needs. Whether a laptop connects to the television is not documented, so test it on arrival or bring a portable display.

Who stays at a nonprofit board retreat, and why it matters

Every person at the retreat must be a registered overnight guest. Day visitors are not permitted, so a facilitator, a funder or a staff presenter who would drive up for one session either books a bed or meets the board off site. Count staff, the facilitator and any partners within the chalet’s licensed maximum. The lead booker should be a director or staff member who will be there, since the security deposit is authorized on their card at check-in. When the agenda needs a screen or a room for more people than the chalet holds, book one in town:

  • Prime Seven Nine in Collingwood, 15 minutes: private dining in a former bank vault for eight to twelve guests, with a projector and screen described in its booking listing.
  • Marsh Street Centre in Clarksburg, 20 minutes: meeting and event rooms by separate arrangement.
  • The Village Conference Centre, 5 minutes: event spaces across three levels, including smaller rooms; ask the resort’s event team.

Then the board comes back to the chalet for dinner, the hot tub and the conversation the minutes do not record.

Timing and booking a nonprofit board retreat

Boards that meet on weekdays can use midweek chalet rentals; weekend retreats run two nights, arriving from 4:00 pm and leaving by 11:00 am. Payment is in full at booking.
