What happens if one chalet in a multi-chalet group booking is cancelled?

The cancellation section of the policies has two published tiers. Cancel up to 30 days before arrival and the refund is 93%; cancel up to 14 days before arrival and it is 43%. From either refund, a non-refundable administration fee and the credit card transaction fees are deducted. The policy publishes no refund tier for cancellations closer than 14 days to arrival.

Because the chalets in a group are separate reservations, the tier is worked out on the cancelled chalet’s own total and its own date. The family in The Stella cancelling five weeks out does not change anything for the family in The Luna, whose booking carries on exactly as it was. The obvious fix, moving the cancelled family’s guests into the chalets that remain, only works inside each chalet’s maximum. A 14-guest chalet stays a 14-guest chalet even when the one next door is empty, and exceeding it forfeits the full deposit. Two smaller knock-on effects: a chalet that drops out takes its four parking spaces with it, and any dog that was coming with that family needs a place in another chalet’s allowance.

Most dropouts happen in the weeks after the dates are set, so organizers who collect firm commitments before booking face fewer of them. Keeping one booking per family helps as well: the people who might cancel hold their own reservation, and the cost of a late change lands with them rather than with the organizer.
